Master Data Management
One source of truth for your quality data
Centrally govern products, materials, equipment, sites, and code lists used across the suite — so every record in every module speaks the same language.
Overview
Why master data management matters
Ask three systems what a product is called and you'll get three answers — and every report that tries to join them inherits the mess. Zixov Master Data Management is the governed dictionary of your quality system: products, materials, equipment, sites, and code lists defined once, referenced everywhere.
Every registry is controlled. Master data changes go through change-controlled updates with approval, effective dating, and audit trail — because a renamed product or a reclassified material ripples through batch records, deviations, and trend reports. Cross-module referential integrity means a deviation always points at a real product, a batch record at real materials and equipment, a training record at a real site.
Stewardship tools handle the practical side: bulk import for go-live, export for reporting, duplicate detection, and ownership per data domain — so the dictionary stays clean long after the migration project ends.

Challenges we solve
The problems this module was built to fix
Same entity, different names everywhere
Free-text product and equipment names make trending impossible. Governed registries give every entity one identity across all modules.
Uncontrolled master data edits
A silently renamed material corrupts every report that references it. Change-controlled updates with approval and audit trail protect data integrity.
Broken references between records
Records pointing at deleted or mistyped entities undermine trust in the system. Referential integrity makes dangling references impossible.
Data quality decays after go-live
Without ownership, registries rot. Domain stewardship, duplicate detection, and review tools keep master data clean over years, not months.
Capabilities in depth
What MDM does, in detail
Governed registries
Controlled registries for products, materials, equipment, and instruments — each entity with a single identity, owner, and lifecycle status.
- Product, material, and equipment masters with attributes
- Lifecycle states (draft, active, retired) per entity
- Domain ownership and stewardship assignment
Sites & organizational hierarchies
Model sites, areas, buildings, and departments once — location context for batches, deviations, and equipment flows from the same tree.
- Site, area, and room hierarchies
- Department structures shared with HR Management
- Location-scoped reporting across modules
Controlled code lists
Classifications, categories, units, and reason codes managed centrally — the dropdown values that make records consistent and trendable.
- Centrally governed code lists and classifications
- Versioned values with effective dating
- Consistent vocabularies powering trend analysis
Change control & stewardship
Master data changes follow approval workflows with audit trail, and stewardship tools keep the estate clean at scale.
- Change-controlled updates with approval and effective dating
- Cross-module referential integrity enforcement
- Import, export, and duplicate-detection tooling

The master data management lifecycle in Zixov
Define
Load or create master entities with attributes, owners, and lifecycle status.
Govern
Changes route through approval with effective dating and audit trail.
Reference
Every module picks from the governed registries — no free text, no drift.
Steward
Owners review their domains; duplicate detection and reports keep data clean.

FAQ
Common questions about master data management
How do we load our existing master data?
Structured import templates bring in products, materials, equipment, and sites in bulk, with validation and duplicate detection during load — typically the first step of implementation.
What happens to old records when master data changes?
Historical records keep the values that were effective at the time. Changes are effective-dated, so a renamed product shows its old name on old batches and the new name going forward.
Can master data sync with our ERP?
The registries are API-accessible, so materials and products can be synchronized from ERP as the system of entry while Zixov governs the quality-facing attributes. We'll map this during implementation.
Who should own master data?
Each domain gets a steward — typically QA for code lists, engineering for equipment, supply chain for materials. The module enforces that ownership through its approval workflows.

Master Data Management is one part of a connected quality suite — records flow between modules automatically, so nothing is re-entered and nothing falls through.
