Training Management
Prove every employee is qualified, always
Role-based training matrices tied directly to controlled documents. When an SOP changes, affected employees are automatically retrained and assessed before the new version goes effective.
Overview
Why training management matters
"Show me this operator's training record" is one of the first requests in any inspection — and one of the hardest to answer from spreadsheets. Zixov Training Management keeps a live, role-based training matrix for every employee, so qualification status is always current and always provable.
Training requirements flow from job roles and from the controlled documents each role must know. When a document is revised in the DMS, the system identifies every affected employee, assigns retraining, and can hold the new version from going effective until training is complete. Read-and-understand, classroom, on-the-job, and assessment-based training are all supported, each producing an approved, inspection-ready record.
Managers see gaps before they become findings: expiring qualifications, overdue assignments, and untrained new joiners surface on dashboards with escalating reminders — not in a year-end reconciliation.

Challenges we solve
The problems this module was built to fix
Training records scattered across spreadsheets
Paper sign-in sheets and Excel trackers can't prove qualification at a point in time. A central matrix gives one answer, instantly, for any employee on any date.
SOP changes outrun retraining
Documents go effective before staff are trained on them — a classic compliance gap. Automatic retraining triggers and training gates close it.
Expired qualifications go unnoticed
Refresher and requalification cycles slip when tracked manually. Expiry tracking with escalating reminders keeps every qualification current.
New joiners start work under-trained
Onboarding curricula assign the full role-based training plan on day one, and supervisors can see exactly what remains before an employee works unsupervised.

FAQ
Common questions about training management
Does training really block a document from going effective?
If you configure a training gate, yes. The revised document stays pending until the affected population completes training — or you can run in advisory mode where completion is tracked but not enforced.
Can we import historical training records?
Yes. Legacy completions can be imported with original dates and evidence references, so employee qualification history is continuous across the migration.
How are external and classroom trainings handled?
Classroom and external sessions are scheduled as events with attendance capture and trainer sign-off. Certificates from external providers can be attached as evidence on the record.
What does an inspector see?
For any employee you can produce their current qualification matrix, complete training history, and the evidence behind each record — filtered to a point in time if the question is about a specific batch date.
